Rolling Knurl out at a hotel
Most hotels go from signup to "every maintenance request has photo proof" in their first week. Here's the playbook — what to do on Day 1, what to add through Week 1, and what to layer on by the end of Month 1.
Day 1 — Set up
- Owner signs up at app.knurl.work/signup. Phone-OTP via WhatsApp. 14-day Team-tier trial mints automatically.
- Name the facility (e.g. "Grand Plaza Jakarta"). One facility per hotel building; bigger groups get Portfolio for multi-site.
- Add the maintenance manager as an admin via Team → Invite. They get a WhatsApp link.
- Add the head of housekeeping as a manager so they can report and triage room issues directly.
Day 2 — First assets
Start with the 30–50 things that fail most often:
- Each AC unit in guest rooms, lobby, ballroom.
- Each elevator.
- Each boiler / water heater.
- The pool pump, the laundry equipment, the generator.
- Fire-safety equipment with statutory inspection cycles.
Don't try to map every chair and lamp. Map the things that break. Quick start →
Day 3 — Print and place QR stickers
Open each asset → Print QR. Use 50×30mm vinyl labels (the default template). Place where engineering can reach but guests won't notice — inside service panels, behind cabinets, on the back of fixtures.
End of Week 1 — Technicians on the app
- Invite each maintenance technician. They install the Knurl app, OTP-in, and immediately see their assigned work.
- Train them in 10 minutes: scan, accept, fix, photo, close. That's the entire loop. Field guide →
- Front-desk and housekeeping start reporting from the dashboard. Every report shows up in triage with the asset pre-attached.
Week 2 — Preventive maintenance
Set up recurring PM for the high-impact assets:
- AC units: 90-day filter clean.
- Elevators: monthly inspection (statutory in most jurisdictions).
- Boilers: quarterly chemical check.
- Fire equipment: annually + per local code.
Knurl generates the work orders. They show up in the triage queue ready to assign. No manual reminders needed.
Month 1 — Layer the rest
- Parts inventory — spare filters, chemicals, common bulbs. Stock levels visible in the dashboard.
- Vendors — your AC contractor, your elevator contractor. Attach to the relevant assets so they're one tap away.
- Reports — MTTR by category, backlog age, throughput per technician. (Operations plan.)
- Guest QR reporting — print & place a small "Report a maintenance issue" sticker in public restrooms or service areas. Guests scan, fill name + brief description, the report lands in triage. No account required.
What hotel teams ask us most
How many technicians can sign in?
Unlimited on Team and above. Add every engineering staff member — no per-seat fee.
Can housekeeping create work orders from their own app?
Yes — invite them as managers (so they can triage) or technicians (so they can create reports and pre-attach photos of the issue).
What about the second hotel building / next property?
Upgrade to Portfolio. Each building is a separate facility. Owners and admins see a rollup; per-facility technicians stay scoped to their own.
Does it work in the basement / laundry / boiler room?
Yes. The mobile app is offline-first — sign in once when you have signal, then technicians can work anywhere. Everything queues; everything syncs when they walk past a WiFi access point.
