What happens when your subscription lapses
Knurl gives you 270 daysbetween a missed payment and any data being touched. Nothing is ever deleted on the day of a payment failure. Here's the full sequence.
Day 0 — Payment fails
The Polar webhook tells Knurl the subscription is no longer active. Your license state transitions from active to read_only. In the dashboard and the mobile app, a red banner appears: “Read-only — subscription lapsed.”
What you can still do: read everything. Browse assets. View work orders. Read history. Export CSVs. Download the full facility ZIP from Settings → Export all data.
What you cannot do: create or edit any new record. The mobile app stays signed in but cannot push new work orders or photo updates. Existing photos and notes are preserved.
Days 1–180 — Read-only window
You stay in read-only for 180 days by default. Plenty of time to:
- Renew the subscription (dashboard → Billing → choose a plan).
- Export your data if you're leaving.
- Sort out a payment-method change without losing access.
The moment a successful payment lands, the license flips back to active and writes are restored. No re-imports, no re-onboarding, no data loss.
Day 180 — Pending deletion scheduled
If 180 days pass without renewal, the license state moves to pending_deletion. A deletion date is scheduled 90 days from now. You're still read-only, and everything still exists.
Knurl sends warning notifications at T-90, T-30, and T-7 days before the scheduled deletion — via WhatsApp and email — so a renewal in the eleventh hour is always possible.
Day 270 — Hard delete (only if you never renewed)
If the scheduled deletion date arrives without a renewal, your facility is hard-deleted. This cascades through every related row — assets, work orders, photos, users, memberships, SSO config, SCIM tokens. Cloud storage objects are removed from R2.
After this point, the data is gone. Knurl does not keep shadow copies.
Want to delete sooner?
If you want to close your facility immediately — for compliance, privacy, or just because — the owner can do it from the dashboard: Settings → Delete facility. You'll be asked to type the facility name to confirm. The delete is immediate and cascades the same way the timed deletion does.
FAQ
I just paid. Why am I still in read-only?
The payment webhook is processed in seconds, but the dashboard and mobile app read the license on each request. Refresh the page. If you're still locked after a minute, contact [email protected] — there may be a stuck webhook on our side.
Can I export after I'm in read-only?
Yes. Read-only blocks writes, not reads or exports. Both the dashboard's "Export all data" ZIP and the per-table CSVs keep working.
What about the mobile app?
It stays signed in and read-only. Technicians can still scan and browse. They cannot create new work orders or upload photos until the subscription is reactivated.
Can I get my data back after the 270 days?
No. After hard delete the data is gone — no soft delete, no shadow copy. Set a calendar reminder.
